Quote Terms & Conditions

Quote Terms & Conditions

These terms apply to every quote issued by Waite Design & Build and form part of your contract with us once you accept a quote. They should be read alongside our Terms and Conditions, our Change Control Process and your individual quote.

1. Your quote

1.1. Your quote sets out the agreed scope of works, the price, the payment schedule, any provisional sums, and the expected programme.

1.2. Anything not listed in your quote is not included. If you’re unsure whether something is included, please ask before accepting.

1.3. Your quote is based on the agreed design and the information available at the time it is prepared, including drawings, surveys and engineer’s calculations.

1.4. Design services are quoted and paid for separately, and are not included in the build price unless your quote states otherwise.

2. Validity

2.1. Your quote is valid for [30] days from the date of issue, unless stated otherwise.

2.2. After this period, we may need to review prices to reflect changes in material or labour costs.

3. Accepting your quote

3.1. Your quote is accepted once we receive your written confirmation and the deposit shown on your quote.

3.2. Your start date is confirmed once your deposit has been received.

4. Payments

4.1. Deposit: the deposit shown on your quote secures your project and your place in our programme.

4.2. Stage payments: the balance is paid in stages linked to the progress of the work, as set out in the payment schedule in your quote. We will invoice each stage as it is reached.

4.3. Invoices are payable within [7] days of issue, by bank transfer.

4.4. Final payment: on completion, we will walk through the finished work with you. Anything identified during the walkthrough will be put right before the final payment is due. The final payment is due once those items are complete and you have signed off the work. Sign-off will not be unreasonably withheld.

4.5. If a stage payment is not made when due, we may pause work until it is received. We will always talk to you before doing so.

5. Provisional sums and unforeseen conditions

5.1. Where part of the work cannot be fully priced until it is uncovered or confirmed, such as foundations, drainage or existing structure, your quote will show a provisional sum. This is our best estimate, and it will be adjusted up or down based on the actual work required.

5.2. We will point out known risks before you accept your quote.

5.3. If an unforeseen condition requires additional work, we will explain it, provide a written price, and agree it with you before that work goes ahead.

6. Changes

6.1. Any change you request after accepting your quote must be made in writing and will follow our Change Control Process.

6.2. Changes only go ahead once you have approved a written proposal showing the effect on cost and programme.

7. Materials and lead times

7.1. Materials are ordered in line with the programme once your deposit or the relevant stage payment has been received.

7.2. If a specified material becomes unavailable, we will agree an alternative of equal quality with you before using it.

7.3. Once materials have been ordered, or made to measure for your project, changes or cancellations may incur costs.

8. Programme

8.1. Your quote includes an expected programme. This is an estimate, and it can be affected by weather, supplier delays, inspections or unforeseen conditions.

8.2. We will keep you updated throughout, and tell you as soon as possible if anything affects the programme.

9. Your home during the build

9.1. Working hours: our normal working hours are [8am to 5pm, Monday to Friday]. Any work outside these hours will be agreed with you in advance.

9.2. Access and utilities: you agree to provide access to the property during working hours, and access to water, electricity and toilet facilities where needed.

9.3. Preparing the space: please remove furniture, valuables and personal items from the work areas before we start, unless we’ve agreed otherwise.

9.4. Protection: we will protect floors and surfaces in areas we use, and keep the site as tidy and safe as reasonably possible.

9.5. Waste: removal of building waste is included unless your quote states otherwise.

9.6. Safety: for everyone’s safety, please keep children and pets away from work areas.

10. Permissions and compliance

10.1. Unless agreed otherwise in writing, you are responsible for obtaining planning permission and ensuring the works comply with its conditions.

10.2. Responsibility for building control, structural engineering and party wall matters will be set out in your quote.

10.3. Where we manage building control, we will arrange inspections and provide the completion certificate once issued.

11. Insurance

11.1. We hold [public liability] insurance. Details are available on request.

11.2. We recommend you tell your home insurer that building work is taking place.

12. Delays caused by the client

12.1. Late decisions, late approvals or restricted access can affect the programme. Any resulting costs will be discussed with you before they are incurred.

13. Guarantees

13.1. The guarantee period and what it covers will be set out in your contract.

13.2. Guarantees do not cover normal wear and tear, misuse, neglect, lack of maintenance, or alterations carried out by others.

14. Cancellation

14.1. If you accept your quote at your home or away from our premises, you have the right to cancel within 14 days without giving a reason.

14.2. If you ask us to start work within that period and then cancel, you may need to pay for work carried out and costs reasonably incurred up to that point.

14.3. After this period, costs already incurred, including materials ordered or made to measure, may not be refundable.

14.4. All cancellations must be made in writing.

15. Disputes

15.1. If a dispute arises, we will first try to resolve it directly with you. If it can’t be resolved, both parties agree to consider mediation before taking further action.
