Change Control Process

Change Control Process

Change Control Process

Your price is fixed for the agreed scope of works. If anything needs to change once your quote has been accepted, whether you request it or something unexpected is uncovered, this process makes sure you know exactly what it means for cost and programme before it goes ahead.

1. Changes before the build

1.1. Changes during the design stage are part of the design process and are handled under your design agreement.

1.2. This process applies once you have accepted your build quote.

2. Requesting a change

2.1. Any change to the agreed scope of works must be requested in writing, by email or using our change request form.

2.2. If you mention a change on site, we will note it and follow up with a written proposal. No change will be carried out on a verbal request alone.

3. Changes we identify

3.1. Sometimes a change is needed because of something that could not be known before work began, such as ground conditions, hidden structural issues or existing drainage.

3.2. If this happens, we will explain the issue to you, and the change will follow the same process: a written proposal, agreed by you before the work goes ahead.

3.3. Urgent safety work: if something is found that must be made safe immediately to protect the structure, your home or people on site, we will do only what is needed to make it safe, tell you straight away, and then agree any further work with you through this process.

4. Assessing the change

4.1. We will review each change for its effect on:

  • the scope of works

  • the cost (increase or decrease)

  • the programme

  • any guarantees

  • materials, including availability and lead times

5. Change proposal

5.1. We will send you a written change proposal setting out:

  • what the change is

  • the revised cost

  • any effect on the programme

  • any effect on guarantees

5.2. Each proposal is valid for [5] working days. After that, costs and availability may need to be reviewed.

6. Your approval

6.1. A change only goes ahead once you have approved the proposal in writing, by signing it or confirming by email.

6.2. If you decide not to go ahead, the work continues as originally agreed.

7. Paying for changes

7.1. Changes under [£500]: payment is due before the change is carried out.

7.2. Changes over [£500]: [50%] is due before the change is carried out, with the balance added to the next stage payment.

7.3. Where a change reduces the cost, the reduction will be credited against your next payment.

8. Carrying out the change

8.1. Approved changes are built into the programme, and we will give you an updated timeline if it is affected.

9. Records

9.1. Every approved change is recorded as a variation and forms part of your contract.

9.2. We will keep a running record of all variations, so you can see the total effect on your project at any time.

10. Keeping you informed

10.1. We will keep you updated on progress and on any further effects of a change throughout your project.
